Privacy Policy

This policy explains what personal information One Stop Business Solutions AI LLC collects, why we collect it, who we share it with, and the choices you have. It covers our website, our sales process, and the systems we build and manage for our clients.

Effective: September 9, 2026 Last updated: September 9, 2026

Who this policy covers

One Stop Business Solutions AI LLC ("we", "us", "our") is a business automation company operating as One Stop Business Solutions AI, registered in the State of Utah.

This policy applies to:

  • Visitors to our website, and anyone who submits a form, requests a free book, requests a website evaluation, books a demo or calls our published number
  • Our clients and their staff, in connection with the accounts and systems we build and manage
  • Anyone who communicates with us by phone, text, email or chat

It does not cover the privacy practices of any third-party website we link to, or the practices of our clients in respect of their own customers. Those are governed by their own policies.

Our two roles

We handle personal information in two distinct capacities, and the difference matters for your rights.

As a business
When you visit our site, download a book, book a demo or become our client, we decide what information to collect and why. We are responsible for that information, and this policy governs it.
On behalf of clients
When we build and manage a system for a client, their customer data belongs to them. We handle it only on their instructions and under our agreement with them. We do not use it for our own purposes.

If you are a customer of one of our clients and want to access or delete your information, please contact that business directly. They control the data. We will assist them in responding to your request, but we cannot act on it without their instruction — and it would not be appropriate for us to do so.

Information we collect

Information you give us

  • Contact details — name, business name, email address, phone number, and where relevant your postal address
  • Business information — your industry, team size, the tools you currently use, your website address, and what you are trying to solve
  • Content of your communications — what you write in forms, texts, emails and chats, and what you say on recorded calls
  • Account and billing information if you become a client, including the details needed to invoice you

Information we collect automatically

  • Device and connection data — IP address, browser type, operating system, and general location inferred from IP address at city or region level, not precise location
  • Usage data — pages viewed, time on page, links clicked, forms started and abandoned, and the page you arrived from
  • Marketing attribution — the campaign, advertisement, search or listing that brought you to us, and any tracked telephone number you called

Information from other sources

  • Advertising and social platforms, when you submit a lead form on their platform rather than on our website
  • Publicly available business information, such as a company website or business listing, used to prepare for a call or to complete a website evaluation you requested
  • Our clients, where they have engaged us and provide contact details for members of their team

We do not buy contact lists, and we do not send marketing to people who have not asked to hear from us.

Calls, recordings and AI agents

This section deserves particular attention, because we use artificial intelligence to answer telephone calls and because recording laws differ from state to state.

When you call us

Calls to our published number may be answered by a person or by an automated AI assistant. An AI assistant will identify itself as automated at the start of the call. You can ask to speak to a person at any point, and we will transfer you or arrange a callback.

Consent to recording

Some states require the consent of every party to record a telephone call; others require only one. We apply the stricter standard everywhere: we tell you at the beginning of the call that it may be recorded, and we ask for your consent before recording.

If you would prefer not to be recorded, say so at the start of the call. We will continue the call without recording it. Declining to be recorded will not affect the service you receive from us.

What we do with recordings

  • Attach the recording and a transcript to your contact record, so our team has context on later conversations
  • Review calls to improve how our team and our AI assistants handle enquiries
  • Retain them for twelve months, after which they are deleted

How AI processing works

Our voice and chat assistants are built on a third-party technology platform. That platform, and the features enabled for a given account, may route conversation content to third-party artificial intelligence sub-processors in order to transcribe speech, understand what was said, generate a response and produce synthesised speech.

Depending on which AI, voice, transcription and automation features are enabled, those sub-processors may include OpenAI, Google Gemini, Anthropic, ElevenLabs, Cartesia, Retell AI, Synthflow, Botpress, Microsoft Azure and Deepgram. We do not contract with each of these providers directly; they are engaged by the technology platform we build on, and the list may change as the platform's capabilities change.

Our AI assistants do not make decisions that produce legal or similarly significant effects about you. They answer questions, capture information and schedule appointments. A person is always available on request.

Text messages

We send text messages only to people who have given consent — by providing a mobile number on a form that told you we would text, by texting us first, or by asking us to follow up by text.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with the messaging providers strictly necessary to deliver the message.

  • To stop receiving texts, reply STOP to any message. You will receive one confirmation and no further messages.
  • For help, reply HELP, or call us on the number below.
  • Message frequency varies depending on your enquiry and the stage of our conversation with you.
  • Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

Consent to receive marketing text messages is never a condition of purchasing anything from us.

Email

We send transactional email — things you asked for, such as a book you requested, a demo confirmation or an invoice — and, where you have opted in, marketing email about our services.

Every marketing email includes an unsubscribe link. Unsubscribing stops marketing email but does not stop transactional messages relating to work we are doing for you.

How we use information

  • To respond to you — answering enquiries, sending the book or evaluation you requested, and scheduling demonstrations
  • To provide our services — building, configuring, supporting and monitoring the systems our clients buy
  • To take payment and keep the financial records the law requires us to keep
  • To improve what we do — reviewing calls and usage data to make our service and our AI assistants better
  • To market our services to people who have asked to hear from us, and to measure which campaigns work
  • To keep our systems secure, prevent fraud and abuse, and investigate incidents
  • To meet legal obligations, including responding to lawful requests and enforcing our agreements

We do not use automated processing to make decisions about you that produce legal or similarly significant effects.

Cookies and tracking

Our website uses cookies and similar technologies. Some are necessary for the site to work; others help us understand how the site is used.

Strictly necessary
Required for the website, forms and booking system to function. These cannot be switched off.
Analytics
Help us understand which pages are useful and where visitors drop off, using Google Analytics. Analytics data is retained for fourteen months.
Attribution
Record the campaign, search or listing that brought you to us, so we can measure which of our marketing works.

We do not currently display a cookie consent banner, because we do not use cookies to build advertising profiles about you or to serve you targeted advertising across other websites.

Most browsers let you block or delete cookies through their settings, and you can opt out of Google Analytics using the browser add-on Google provides. Blocking some cookies may stop parts of our website working.

Browser opt-out signals

Because we do not sell personal information and do not share it for cross-context behavioural advertising, we do not currently process Global Privacy Control or other browser-based opt-out preference signals. If that changes, we will update this policy and begin honouring those signals before we make the change.

How we share information

We do not sell your personal information, and we do not share it for cross-context behavioural advertising.

We share information with service providers who help us operate, under contracts that limit them to using it only for the services they provide to us:

Technology platform
The customer relationship management, communications, calendar and website platform that underlies our services, together with the sub-processors it engages.
Telephony and messaging
Twilio, which carries our telephone calls and text messages, together with the mobile carriers required to deliver them.
Artificial intelligence
The AI, voice and transcription sub-processors described in Calls, recordings and AI agents.
Email delivery
The email delivery providers engaged by our technology platform to send email on our behalf.
Analytics
Google Analytics, for website usage measurement.
Payment processing
Our payment processors. See the next section.
Professional advisers
Accountants, lawyers and insurers, where necessary.

We may also disclose information where we are legally required to do so, to protect our rights or someone's safety, or in connection with a merger, acquisition or sale of assets — in which case we will tell you before your information becomes subject to a different policy.

Payment information

We do not store full card numbers. Card payments are handled by third-party payment processors, and card details are transmitted directly to them.

Where we build payment functionality for a client, the client connects their own merchant account. Their customers' card data is handled by that processor under the processor's terms, not by us. We do not take a share of our clients' transactions.

Data inside client accounts

When we build a system for a client, that system holds the client's own customer data — contact records, call recordings, messages, appointments and payment history.

  • The client owns and controls that data
  • We access it only to build, configure, support, monitor and troubleshoot the system, or where the client instructs us to
  • We do not use it to market to the client's customers, and we do not use it for our own purposes
  • We do not sell it, and we do not combine it across clients
  • On termination, we return or delete it within thirty days, in accordance with our agreement with the client

Clients are responsible for having a lawful basis to contact and record their own customers, including obtaining any consent required for calls, recordings and text messages. We configure systems to support compliance — automated disclosure, opt-out handling, calling-hour restrictions and consent records — but the obligation rests with the client, and our client agreement says so.

How long we keep data

We keep personal information only as long as we need it for the purpose we collected it, or as long as the law requires.

Enquiries that do not become clients
Twenty-four months from your last contact with us, then deleted
Call recordings and transcripts
Twelve months, then deleted
Website analytics
Fourteen months
Client records
For the duration of the agreement, then returned or deleted within thirty days
Financial and tax records
Seven years, as required for tax and accounting purposes
Marketing contacts
Until you unsubscribe. We then keep a minimal suppression record indefinitely, so that we do not contact you again by mistake

Information may persist in encrypted backups for a short period after deletion. Backups are overwritten on a rolling ninety-day cycle.

Security

We use reasonable administrative, technical and physical safeguards to protect personal information, including access controls, encryption in transit, multi-factor authentication on administrative accounts, and limiting staff and contractor access to what their role requires.

No system is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and any regulator as required by law.

Your privacy rights

We extend the following rights to everyone who contacts us, regardless of where you live:

  • Know and access — what personal information we hold about you, and how we use it
  • Correct — ask us to fix information that is wrong
  • Delete — ask us to delete information, subject to legal exceptions such as tax records
  • Portability — receive a copy in a usable format
  • Opt out — of marketing at any time
  • Non-discrimination — we will not treat you worse for exercising a privacy right

To exercise a right, email [email protected] or call the number below. We will verify your identity before acting, usually by confirming information we already hold.

We respond within forty-five days. If we need longer, we will tell you within that period and explain why. You may use an authorised agent where the law permits.

If we decline your request

We will explain why in writing. If you disagree, you may appeal by replying to our response with the word "appeal". A different person will review it, and we will respond within forty-five days with our decision and the reasons for it. If we deny your appeal, we will tell you how to complain to your state Attorney General.

California residents

If you are a California resident, the California Consumer Privacy Act as amended may give you rights in addition to those described above.

In the twelve months before the date of this policy we collected the categories of personal information described in Information we collect, for the purposes described in How we use information, and disclosed them to the categories of recipients described in How we share information. We collect this information from you directly, from your device when you use our website, from advertising platforms where you submit a lead form, and from our clients.

We have not sold personal information, and we have not shared it for cross-context behavioural advertising, in the twelve months before the date of this policy.

We do not collect sensitive personal information for the purpose of inferring characteristics about you.

We do not knowingly collect or sell the personal information of anyone under sixteen.

Whether we meet the thresholds that make a business subject to the CCPA depends on our revenue and data volume in a given year. We extend the rights described in Your privacy rights to California residents regardless of whether we are legally required to.

Children

Our services are for businesses and are not directed at children. We do not knowingly collect personal information from anyone under sixteen. If you believe a child has given us information, contact us and we will delete it.

Where we operate

We are based in Utah and serve businesses across the United States. Personal information we collect is stored and processed in the United States.

Our services are not directed at, or offered to, individuals in the European Union or the United Kingdom, and we do not monitor the behaviour of individuals in those regions. If you are located outside the United States and contact us anyway, understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

Changes to this policy

We may update this policy as our services or the law change. We will update the "last updated" date at the top of this page, and where changes are significant we will give notice by email or by a prominent notice on the site before they take effect.
