Calls and recordings
Inbound and outbound, with duration, recording and transcript. Including the ones an AI agent answered while nobody was free.
Platform / CRM & Contacts
Every call, text, email, appointment, quote and payment lands on the same contact — in order, visible to your whole team. When someone rings, whoever picks up already knows who they are and what happened last time.
We'll map your current data across whatever tools it's in. 30 minutes, no obligation.
She's in the phone as a number, in the inbox as an email, in the calendar as a name and in the spreadsheet spelled differently. Nobody can say how much she's worth.
The person who knows the account is on holiday. Everything about the relationship went with them, and the customer has to explain it all again.
When a salesperson leaves with their phone, the contacts leave too. You never owned the relationship, only the person who held it.
None of this is typed in by anyone. It arrives because the phone system, the calendar, the website and the invoicing all run on the same platform as the CRM.
Inbound and outbound, with duration, recording and transcript. Including the ones an AI agent answered while nobody was free.
Texts, emails, web chat and social DMs in one conversation, whatever channel the customer decided to use that day.
What was booked, who attended, when it was completed, and what the intake questions said before anyone arrived.
What you quoted, what they accepted, what's outstanding and what they've paid you across the whole relationship.
First source, landing page and campaign, held permanently — so revenue can be traced back to what produced it.
Team notes the customer never sees — access details, preferences, warnings. The things that currently live in someone's memory.
Out of the box, every CRM has name, email and phone. That's the easy part. What actually makes a CRM useful is the fields specific to your trade — the ones your team currently keeps on a clipboard or in their head.
We design the data model during onboarding: what you need to know about a customer, what has to be recorded on every job, and how it should be structured so you can filter and report on it later rather than reading notes one at a time.
EXAMPLE — HEATING & PLUMBING
Structured fields, not free text. Which means you can pull every customer whose warranty expires next quarter and send them one campaign — something a notes field could never do.
Stages named after what really happens in your business, with automation on each one — so a deal moving forward triggers the next action instead of waiting on someone to remember.
Moving a deal to "Quote sent" can fire the follow-up sequence. Moving it to "Won" can trigger the deposit invoice and the scheduling task. The stage change is the trigger.
You can see what's open, what it's worth and how long it's been sitting. A quote that's gone quiet for nine days is visible instead of forgotten.
Each opportunity keeps its origin from first touch to closed. That's what makes revenue-by-source reporting possible at the end.
This is where most CRM projects fail. A messy import creates duplicates and half-empty records, the team loses confidence in the data within a fortnight, and everyone quietly goes back to the spreadsheet. We treat migration as its own piece of work.
Step 1
Contacts live in more places than anyone expects — the old CRM, an accounting package, two spreadsheets, someone's phone. We inventory it before touching anything.
Step 2
Merge the same customer appearing three ways, standardise phone formats and addresses, and flag the records too incomplete to be useful.
Step 3
Every old field is mapped to a new one deliberately. Anything that doesn't map gets a decision, not a dumping ground field called "notes".
Step 4
A test batch first, checked against the source. Then the full import, with counts reconciled so you know nothing was silently dropped.
What we'll tell you honestly: if your existing data is in poor shape, importing all of it is usually the wrong call. Ten thousand contacts where half have no valid phone number will damage your sending reputation and cost you more in subscription tiers than they'll ever produce. We'd rather bring across the records that are actually worth something and archive the rest.
Most CRMs charge per user, which quietly punishes you for putting the whole team on it — so businesses buy three licences and everyone shares logins.
Your plan scales on contacts instead. Add every technician, every admin, every subcontractor. The system only gets more useful when everybody's actually in it.
An agent answering your phone can only be useful if it knows who's calling. Because the record holds the history — past jobs, open quotes, the last conversation — the agent picks up informed rather than starting cold every time.
A working CRM with a sales pipeline is included in every plan. These are the one-time builds for shaping it around your business and getting your existing data in cleanly.
Designing the CRM around how your business actually operates.
Getting what you already have into it without carrying the mess across.
Included on Growth and above: CRM migration comes as standard with the Growth and Command Center plans, so most businesses don't pay for it separately. On Launch it's an add-on — or you can start clean and import later once you've seen the system working.
Bring a description of where your contact data currently lives — however scattered. We'll show you what it looks like once it's in one place and what it takes to get there.
